Returns, refunds, and cancellations

How we handle money, cancellations, and defects for custom software and licensed products. Last updated August 24, 2026.

This policy is published by ZynVoss LLC (“ZynVoss,” “we,” “us”), a Florida limited liability company at 6515 Spanish Lakes Blvd, Fort Pierce, FL 34951, USA. It applies to purchases and engagements made with ZynVoss, including custom software and related professional services, licensed software products, subscriptions, and support.

ZynVoss builds software. We do not sell a boxed retail good that you ship back. Code, design, configuration, and labor are performed and delivered. That is why this page is written as a refund and cancellation policy for custom software and licenses, not a clothing-store return desk.

If you have a signed master services agreement, statement of work, order form, checkout terms, or end-user license agreement with us, that signed writing controls if it conflicts with this page. This page is the default that applies when nothing else is in writing.

1. Custom software and professional services

Custom websites, portals, applications, integrations, automation, design, and similar work are services. You are paying for our time, skill, and deliverables — not a stock item that can be restocked unused.

Deposits and kickoff

A deposit, retainer, or kickoff invoice is earned when we accept the engagement and calendar the work (including discovery, design, architecture, or coding). Deposits are non-refundable once that work has started, except where we agree in writing before kickoff, or where we never start the work after taking payment.

Milestones and delivered work

Amounts invoiced for a completed milestone, sprint, or delivered increment are earned when that increment is delivered or made available to you (including by repository access, staging URL, installer, or written handoff). Those amounts are not refundable because you later change direction, pause the project, or decide not to launch.

If we use time and materials, hours already worked at the agreed rate are earned when performed. We will not refund labor that already happened.

Cancellation by you

You may cancel remaining (not-yet-started) work by written notice to [email protected]. Cancellation stops future work. It does not unwind work already performed. You remain responsible for:

  • all earned deposits, retainers, and delivered-milestone invoices;
  • hours and expenses incurred through the effective cancellation date;
  • non-cancellable third-party costs we committed for your project with your approval (hosting, domains, licenses, paid APIs, app-store fees, contractors).

Prepaid unused hours that we have not yet performed may be applied as a credit to a later ZynVoss invoice or, at our discretion, refunded minus any earned amounts and non-recoverable processor fees.

Cancellation or stop-work by us

We may stop work if invoices go unpaid, if the engagement is unlawful or unsafe, if required access or materials are not provided after notice, or if continuing would require us to make a public claim we cannot honestly make. In that case you still pay for work already performed. We will not bill for work we refuse to start after a stop-work notice.

Defects (not a “return”)

If a deliverable materially fails to match the signed statement of work, we will repair that non-conformance at no additional professional-services charge if you notify us in writing within thirty (30) days after we deliver that increment. That repair obligation is the remedy — not a refund of the project, not a buy-back of source code, and not a warranty of your business results, uptime, third-party platforms, or content you supplied.

The repair window does not cover new scope, design-taste changes, browser or OS versions released after delivery, your hosting or DNS, data you corrupted, or third-party outages.

What we do not refund

  • Change of mind after kickoff.
  • Dissatisfaction with a direction you approved in writing or in a recorded review.
  • Your delay in providing copy, credentials, decisions, or access.
  • Lost profits, lost data, or “we did not get the leads we hoped for.”
  • Work you asked us to throw away and rebuild as new scope.

Copies of work product you already received (source, designs, credentials, documentation) are not physically “returned.” Cancellation does not require us to un-learn the project or to delete backups we keep for legal, tax, or security reasons, except as required by a signed data-processing term or applicable law. See our Privacy Policy.

2. Licensed software products and subscriptions

Products we publish under our own name — including ZynTorque, Client Portal, and other programs listed on products.html — are licensed, not sold. Use is governed by the applicable EULA or checkout terms. You cannot “return” a license the way you return a shirt. Digital keys, installers, and seat access cannot be unused in a way we can restock.

One-time licenses

A one-time license fee is earned when we issue access, a license, or the credentials that unlock the product. After issuance, that fee is not refundable, except if we failed to deliver access after a good-faith attempt by you to receive it, or if we charged you twice for the same item.

Subscriptions and renewals

You may cancel a subscription to stop future renewals. Cancel before the renewal date. Cancellation does not automatically refund the then-current billing period once that period has started and access was available.

Plans sold as a 1-year prepaid software subscription (including offers submitted to Google Shopping) are a 12-month term. They auto-renew for another 12 months unless you cancel before renewal. Those SKUs are listed at zynvoss.com/subscriptions and on each plan page under /plans/.

We will refund a subscription charge if: (a) we billed you in error or twice; (b) we could not provision access after you paid; or (c) Florida or other law that cannot be waived requires it. We may, at our discretion, refund an unused first-period charge requested in writing within seven (7) days of the first payment if the license was never activated and no seats were used.

Trials convert to paid plans as stated at checkout. Cancel before the trial ends if you do not want to be charged.

Chargebacks

If access was delivered, a bank or card chargeback is not a substitute for this policy. Contact us first. We will document delivery (checkout records, license issuance, repository or portal access, emails) and contest chargebacks we believe are improper. Unpaid chargebacks may result in license disablement and collection of the amount still owed.

3. How to request a refund or cancel

Write to [email protected] or [email protected], or call customer support at (772) 773-1931. Include:

  • legal name and the email used at purchase or on the project;
  • invoice number, Stripe/PayPal receipt, or project name;
  • what you want (cancel remaining work, refund a specific charge, defect repair);
  • the date of payment and a short statement of the facts.

We aim to acknowledge requests within five (5) business days. Approved refunds go back to the original payment method when the processor allows it. Bank posting can take additional days. Processor and currency-conversion fees that we cannot recover may be deducted. Amounts are in U.S. dollars unless the invoice says otherwise. Sales tax collected on a refunded amount is handled as the tax authority and processor require.

4. Consumer-law notes (Florida and the United States)

ZynVoss is a Florida company. Online and office sales of custom software and digital licenses are generally not covered by the FTC Cooling-Off Rule (the three-day right that applies to certain door-to-door sales). Nothing on this page limits a right that applicable law says you cannot waive, including any non-waivable consumer protection statute that actually applies to your transaction.

If you are buying as a business (on a company invoice, for operators, shops, or agencies), you agree this is a commercial transaction and that the remedies in this policy and your signed agreement are the exclusive refund remedies to the extent Florida law allows.

05

5. Disclaimer of extra warranties

Except for the thirty-day repair of material non-conformance to a signed statement of work described above, and except for any warranty that a signed contract expressly states, software and services are provided as specified in that contract or at checkout. We do not warrant uninterrupted operation, fitness for a purpose we did not write down, or results from third-party networks, app stores, or model providers. See also our Terms of Use and product EULA.

06

6. Limitation of refund amount

To the maximum extent permitted by Florida law, any refund will not exceed the amount you actually paid to ZynVoss for the specific invoice, milestone, or license period in dispute. We are not required to refund amounts you paid to third parties (hosting, Apple, Google, domains) unless we collected those amounts as agent and can reverse them.

07

7. Governing law and venue

This policy is governed by the laws of the State of Florida, USA, without regard to conflict-of-law rules. Exclusive venue for disputes about payments, refunds, or cancellations under this page is the state courts of St. Lucie County, Florida, or the federal courts sitting in the applicable Florida district, unless a signed agreement or mandatory law says otherwise.

08

8. Changes

We may update this page by posting a new version at zynvoss.com/returns. The version in effect on the date of your purchase or the date of a signed statement of work applies to that transaction, unless a later version is more favorable to you and we agree in writing to use it.
